Purpose of Position:
Ø To assist in the day-to-day operation of Bishopscourt Nursing Home Ltd. To ensure the daily running of the office is in order and up to date within the general philosophy of the Home, in a caring, kind and respectful manner
Ø To work as part of a team to ensure that the residents enjoy a meaningful and enjoyable life within the nursing home.
Ø Establish and maintain relationships with Residents that are based on respect and equality and that promote their independence
Principal Responsibilities
Accounts & administrative requirements;
Ø Resident monthly accounts and monthly invoicing. Maintaining the sales Ledger and reconciliations.
Ø Maintaining the purchase ledger ensuring that suppliers are paid in a timely manner and the supplier account is reconciled to monthly statements.
Ø Bank reconciliation and ensuring accounts are up to date for year end.
Ø Basic office duties (e.g. photocopying, typing etc.).
Ø Experience on Sage / Xero an advantage.
Ø Answering the phone and dealing with any queries in a professional and courteous manner.
Ø Filing (ensuring all paperwork is filed correctly, all the necessary paperwork for patient Files are readily available for Nurses.)
Ø Ensuring all contracts of care for each resident are on file.
Ø To treat Residents, Families, Visitors to the Home and other Team Members with courtesy, politeness, dignity and respect at all times.
Ø To carry out instruction by senior staff in an efficient and conscientious manner.
Ø To work in accordance with any regulations pertinent to the running of the Home i.e. Safety, Health and Welfare at Work Act 2005. To work in accordance with the Policies and Procedures laid down by the Management and the Registration Authority.
Ø To help keep the Home clean, tidy and presentable at all times.
Ø To attend Staff meetings and all compulsory Training days as deemed necessary by the Management, for the safe running of the Home.
Ø To assist and facilitate in the welcoming and training of new staff members.
Ø To liaise with the Nursing Home Support Scheme, HSE and any other government body in dealing with residents financial position in a professional and courteous manner.
Ø Reporting accidents, injuries, dangerous occurrences, near misses, hazards and risks to seniors whose responsibility it is to act upon such information to reduce the risk of accidents.
Other Duties :
Ø The person in accounts will require skills in this department and have good computer knowledge.
Ø To attend all statutory training as required by the company and attend appropriate training courses to enhance and keep updated with professional skills and ensure your training is regularly updated.
Facilities Management Administration
Ø Coordinate with vendors and service providers for repairs and routine inspections.
Ø Keep a Schedule of maintenance activities for Heating, plumbing, electrical, and other critical systems.
Ø Maintain a preventive maintenance schedule.
Ø Ensure compliance with health, safety, and environmental regulations.
Ø Maintain documentation for permits, licenses, and safety certifications, service reports etc.
Ø Track all costs in relation to maintenance of equipment
Ø Maintain records for facility-related activities, such as maintenance logs & vendor agreements.
Ø Analyse maintenance contracts, costings and allowances, highlight any discrepancies.
Ø Order consumables in a timely manner.
Ø Liaising with maintenance staff.
Ø Responding to any Resident queries
Ø Reporting to the General Manager with all issues
Ø General admin office duties in relation to Facilities
